Making the switch from Lightspeed OnSite to Lightspeed Retail is an exciting endeavor, but it doesn't have to be a completely fresh start. Much of your data can be carried over from OnSite to Retail, and we'll be there to guide you through the process, starting with a webinar that will give you an overview of the entire process.
Two ways to migrate your information
If you plan to migrate your products, customers, and suppliers, Lightspeed’s Customer Success and Support teams will coordinate with you to move this data from Lightspeed OnSite to your Lightspeed Retail account.
It is also possible to migrate your sales history, gift card balances, and credit accounts in addition to your products, customers, and suppliers by engaging the services of our partner DOOSYNC™, powered by Enkidoo.ai. Their intuitive application is able to migrate your data for you using Lightspeed Retail’s API. For more information about DOOSYNC™, please contact your Account Manager.
Before you begin
Whichever method you choose, we strongly urge you to invest the time to archive old data that will no longer be relevant. Doing so will streamline the migration process and result in a cleaner environment in Lightspeed Retail.
Using the Set Product Info tool, you can make batch changes to your products. In this case, mark any products that you are no longer carrying as Non-Current. Products in OnSite that are marked as Non-Current will still be migrated to Lightspeed Retail, but they will appear in your Retail account as Archived. This will keep them from appearing in your active inventory, but you will still be able to recover them if need be.
Ideally, you should be able to get your active inventory to under 10 000 products.
1. Exporting your data from OnSite
Whether you've decided to proceed with Lightspeed or DOOSYNC™, exporting your OnSite data is the first order of business.
If Lightspeed is migrating your data:
An agent will arrange to connect to your server computer using TeamViewer™ and export your OnSite data.
If DOOSYNC™ is migrating your data:
DOOSYNC™ will arrange to use TeamViewer™ to connect on your OnSite Server computer in order to upload your most recent backup.
2. Importing your data into Retail
Once you have your data out of OnSite, the next step is to get it into Retail.
If Lightspeed is migrating your data:
The Import Support team will coordinate an import of your OnSite data into your Lightspeed Retail account. Expect an email from the Import Support team to discuss the specifics of your data import.
If DOOSYNC™ is migrating your data:
- DOOSYNC™ will process a few samples to show you how your OnSite data will look once it's in Retail. You must log in to your Retail account and confirm the samples with DOOSYNC™ before proceeding.
- DOOSYNC™ will use the Lightspeed Retail API to migrate your OnSite data. The Lightspeed Retail API has a daily rate limit of 12,000 records per day, which means that the duration of your migration depends on how much data you have. For example, if you have 20,000 customers, 30,000 products and 200 vendors, the migration will take a little over 4 days.
3. Onboarding for Lightspeed Retail
While your OnSite data is being imported into Retail, our Customer Success team will work with you to schedule an onboarding session for Lightspeed Retail so you can learn how to use your new point-of-sale system.
4. Setting up your hardware
If you require assistance, our Customer Success team will arrange for a hardware specialist to call you for a 30 minute hardware setup call.
5. Updating your quantity on hand
It may take some time to complete the import of your data into Lightspeed Retail, and we don't want you to lose any business. While the import is running, continue to run your business with Lightspeed OnSite. When the time comes to make the switch to Retail, you'll do one more import to update your current quantity on hand (QOH).
If Lightspeed is migrating your data:
A Support Agent will contact you to arrange exporting the QOH data from OnSite and they’ll create a new import ticket to connect you with our Imports team. Once this is complete, you’re ready to start using Lightspeed Retail.
If DOOSYNC™ is migrating your data:
Arrange your go live date with DOOSYNC™ so they know when to do one last data migration of historical sales data so you can start using Lightspeed Retail.
6. Setting up a new eCom shop (optional)
If you have an existing Lightspeed eCom store set up with OnSite, our teams will help you set up a new Lightspeed eCom store that connects to Lightspeed Retail. Our eCom Support team will reach out to help you migrate to your new eCom store.
